Set up your organization
From a new account to an organization your team can use: AI credits or a key before the Agent, the legal entity before the first invoice.
On this page
A new organization has no records, no AI key and a legal entity with nothing but a name. These steps take it to an organization your team can use. Every label below is the product's own.
Step by step#
Create your account#
Go to app.salexhub.com/register, fill in Full name and Work email, and choose Continue. A 6-digit code goes to that address and works for 10 minutes. Enter it under 6-digit code, choose a Password (at least 8 characters), then Create account: you are signed in at once.
Sign-in is by email and password, or with a passkey once you add one in Settings > Account > Sign-in and security. Where an organization has set up sign-in through its identity provider for its email domain, its people choose Sign in with SSO.
Create your organization#
On Create your organization, fill in:
- Organization name, your team or company;
- Organization ID, filled in from the name. It cannot be changed later;
- Country, where your business is registered. Your first legal entity, the seller on every quote and invoice, is registered here;
- Reporting currency, the currency every pipeline total and report is summed in. Deals keep their own currency.
Then Continue. You become the organization's Owner. The time zone is taken from your browser; you can change it in step 4.
An account has one organization of its own. To run another business in it, add a legal entity rather than a second organization.
Connect an AI provider#
The Agent works on AI credits your organization paid for, or on its own AI provider key, and until it has one or the other it answers nothing, although the first screen invites you to ask it. People with the billing permission buy credit packs in Settings > AI > AI Gateway > Budgets & Spend; an Owner or Admin adds a key in Settings > AI > AI Gateway > Keys. Connect an AI provider walks through both.
Check the organization basics#
In Settings > Organization > General, check the Time zone and the Number & date format. "Today" everywhere, such as for overdue tasks, is the organization's day in this zone.
In Settings > Organization > Currencies, check the reporting currency and add the other currencies you trade in. Records keep their own currency and convert at the rate of their own date.
Complete your legal entity#
Your first legal entity arrives with the organization name as its legal name, and no tax number or address. Complete it before your first quote or invoice, or the document prints just the name.
Open Settings > Organization > Legal entities, open the entity marked primary, and fill in Legal name and Address. Check the Document prefix: it starts the entity's own run of document numbers. Tax numbers go under Tax registrations: Record a registration takes the Country, the Number and the day it took effect (From), and each document prints the registration in force on its own day. A UAE issuer with a TRN in force prints a tax invoice.
Bring in your data#
The first screen, Set up your organization, offers Import contacts, from a CSV file whose first row holds the column headers, and Add a company. Once AI is on, you can also ask the Agent to run the import.
Connect your mailbox#
Each person connects their own, in Settings > Account > Email: the address, a sender name, and the incoming (IMAP) and outgoing (SMTP) servers with their password. Test connection checks them.
The inbox syncs, 30 days back on the first run, and each message lands on the contact whose address it carries. Mail from an unknown address is kept but attached to no one, and no contact is invented for it.
Mail a new mailbox captures is visible only to its owner. To let colleagues see it on the records it is filed on, choose Everyone who can see the records it is filed on under Who sees mail from this mailbox.
Important: Mailboxes connect with a password. A Gmail mailbox needs an app password, which Google offers once 2-Step Verification is on. A Microsoft 365 mailbox cannot be connected today, because Microsoft has turned off password sign-in for mail.
Invite your team#
In Settings > Members & access > Members, choose Invite member, enter one address or a list under Email addresses, and pick a Role: Admin, Member or Viewer. Inviting takes the users permission, which Owners and Admins hold. Someone who already confirmed their address with SalexHub joins at once. Anyone else gets an email with a link that works once, within 7 days, and chooses their password there. Billing Admin, Manager and custom roles are set afterwards, on the member's row.
Note: Contacts, companies and deals start Private: a Member sees the records they own and the unassigned ones, so a Member you invite does not see the contacts you imported. A Viewer sees every record, read-only. To share more, set Settings > Members & access > Access defaults to Public read or Public read/write for an object, or use teams and sharing rules.
Switch on Marketing, if you need it#
Campaigns, forms and web analytics belong to the Marketing hub, which is off in a new organization. In Settings > Organization > Billing, Products lists it with Switch on, which needs a paid plan or a trial. Start 14-day trial, on the same page, gives a trial once per organization.
Decide how much the Agent may do#
The Agent starts on Ask every time: it proposes, and nothing happens until someone confirms. Out of the box only the Owner can change that, in Settings > AI > Agent. Autonomy and approvals explains each mode.
