Plans, trial and seats

The plan an organization runs on, its trial and seats, how a plan is bought, who may change it, and what the Billing screen refuses.

On this page

The Billing screen shows the one plan your organization runs on, how many seats it pays for, and where a plan is bought. It is in Settings > Organization > Billing. The pages beside it are Usage, Invoices and Products.

Who can open it#

The screen asks for the billing permission, not for a role. Owners, Admins and Billing Admins hold it, and an admin can grant it to another role in Settings > Members & access > Roles. Anyone else sees You need the billing permission and the sentence: "Billing needs the billing permission. Owners, Admins and Billing Admins hold it; an admin can grant it to a role in Settings > Roles". The Billing tools say the same sentence, and the Roles page is under Members & access. See Roles and permissions.

The plan in force#

The top card shows Current plan: Free, Pro, Business or Enterprise, a status badge and a summary.

BadgeWhat it says
No badgeNo subscription: Free, for one person.
TrialDays left and the end date, and whether a card is on file.
Trial endedThe organization is on Free until somebody buys a plan.
ActivePaid. Seats and how it is paid, and when it renews, or when it ends if canceled.
Payment dueA payment failed. Update the card before the date shown to keep full access.
Read-onlyThe grace period ran out, or the billing service gave up collecting.
EndedThe plan ended and the organization is on Free.

A failed payment keeps full access for 14 days. After that the organization reads only: nothing can be created or changed, and reading continues. The billing pages stay open, so a person can always reach the payment.

A plan set up under a contract says "Set up by SalexHub under your contract." While a payment is being confirmed the card says so, with Check again, which asks the billing service what has been paid.

Seats#

Every active member is a seat. The card shows how many active members there are. On a paid plan with more members than paid seats, it says so: "Paid seats do not follow your members yet: write to support to change them."

Where the plan carries them, the card lists under Included the records, the file storage and the AI credits a month.

Choose a plan#

The prices are on the pricing page and on the screen, per seat a month, in the currency the organization pays in. Amounts are shown with their currency code.

Pick the interval and the seats#

Under Plans, switch between Monthly and Annually, which shows the saving next to its name. On Pro and Business, enter the number in Seats. After you change either, the screen shows the total for that choice, with VAT included where it applies.

Buy#

Choose Buy Pro or Buy Business. A page names the organization and the plan, and hands you to the payment page. Nothing is charged until you confirm there. The plan appears on the Billing screen when the billing service reports the payment.

Buy on this screen already names the organization. A link opened from the website's pricing page first asks which of your organizations the plan is for. A plan belongs to one organization.

Free has no button. Enterprise is sold by contract: Contact sales opens an email to the sales address, and the card says "By contract, from 15 seats".

Start a trial#

On the Pro and Business cards, Start 14-day trial takes you to the same payment page. You add a card, nothing is charged for 14 days, and the plan is charged after that unless you cancel before the trial ends.

An organization has one trial. The button is not drawn once a trial is running, ended or the plan is paid for. A trial with no card on file says so, and says the organization goes to Free when it ends.

Payment and cancellation#

Manage payment and invoices opens the payment portal. Saved cards and invoice details are further down this screen once something has been paid for; see Invoices and payment. The screen says you can change the card, download invoices or cancel the plan there. After a cancellation the card says when the plan ends and that it will not renew.

The button is drawn only for a plan bought through checkout. A trial with no card, Free and a contract plan have no portal.

What the screen refuses#

  • No billing permission. The page, and every action on it, answers with the sentence above.
  • A live subscription. Buy and Seats are disabled, and the screen asks you to write to support, who change the plan or the seats for you. Write to support.
  • A second trial. The trial button is not drawn.
  • Plans could not be read. A warning says "Plans and prices could not be read from the billing service", with its reason. The plan card above still shows.
  • Purchases not connected. Where a deployment has no billing service: "Purchases are not connected on this deployment. Nothing was changed."
  • A session proved long ago. Buying, a trial, the payment portal, a credit pack, and adding, changing or removing a saved card ask Confirm it is you when your session was not proved in the last two hours.

A refused change shows Update failed, the reason, and a code and reference to quote to support.

AI credit packs#

Below the plans, Buy AI credits has one button per pack: the number of credits and the price, with its currency code. The buttons are drawn only when packs are on sale and online payment is connected. Otherwise one sentence says why. The credits are added once the payment is confirmed. Packs are also sold in Settings > AI > AI Gateway > Budgets & Spend; see Connect an AI provider.

The Agent and billing#

The Agent can read plans, prices, invoices and the saved cards and invoice details, and give you a purchase link. It never buys a plan, starts a trial, opens the payment portal, buys a pack, switches a product, adds or changes a card or changes invoice details. A person does those on this screen. See Autonomy.
