# Invoices and payment

Where invoices are listed, how to view, download and pay one, where cards and invoice details are kept, and what the page refuses.

The Invoices page lists what SalexHub issued to your organization and lets you open, download or pay each invoice. It is in **Settings > Organization > Billing > Invoices**, and it needs the billing permission, like the rest of [Billing](https://salexhub.com/docs/billing/plans).

## What the page lists

Above the list, **Next invoice** shows an amount and a date when the billing service names one. The amount is summed from the plan's items before discounts and any tax added on top, and the page says so. It is absent when the plan will not renew or there is none.

Under it, three tabs: **All**, **Paid** and **Open**. Each tab is a link, so a tab survives a reload and can be shared.

| Column | What it shows |
| --- | --- |
| **Date** | When the invoice was created, in the organization's format |
| **Invoice** | Its number, empty when it has none |
| **Status** | **Paid**, **Open**, **Uncollectible** or **Void** |
| **Total** | The amount, always with its currency code |

On a narrow screen each invoice is a stacked row with the same fields. The list is newest first, a page at a time; **Load more** adds the next page.

Before the first payment the page says "No invoices yet. They appear here after your first payment." An empty tab says "No paid invoices." or "No open invoices."

## View, download or pay an invoice

### Open the invoice

Choose **View** on the invoice's row. Its hosted invoice page opens in a new tab.

### Download it

Choose **PDF**. The file opens in a new tab.

### Pay an open invoice

An open invoice also has **Pay**. It opens the same hosted page, where you pay. The payment happens there, never on this page.

A button is drawn only when the billing service gave its address, so an invoice may show fewer than three.

## The payment method

On the **Billing** page, **Payment method** lists the saved cards with brand, last four digits and expiry, and marks the default, the card charged for the next invoice. **Add card** opens a card form on that page; the number goes from your browser to the payment processor and never through SalexHub. **Make default** and **Remove** change which card is charged; a card that pays for the live subscription cannot be removed until another card is the default. The section appears after the organization has paid for something.

Adding, changing or removing a card asks you to **Confirm it is you** when your session was not proved in the last two hours.

**Manage payment and invoices** on the plan card still opens the payment portal. The portal is drawn only for a plan bought through checkout, and opening it asks for the same confirmation.

The card form is the payment processor's own; SalexHub's product never receives the card number. The processor is named in [Subprocessors](https://salexhub.com/legal/subprocessors).

## Invoice details

**Invoice details**, on the **Billing** page after the first payment, holds the company name, the invoice email, a PO number, the billing address and tax IDs that are printed on invoices. It needs the billing permission. A tax ID is checked by the payment processor and its state is shown beside it.

## Where invoices are sent

The address is held in two places that agree. The **Billing email** in **Settings > Organization > Organization profile** is the address handed to the billing service with each purchase, to say who pays; changing it there needs the right to change organization settings and the billing permission both. Once the organization has paid for something, the **Invoice email** under **Invoice details** on the Billing page is the address invoices and receipts are sent to; changing it there needs the billing permission, and it updates the Billing email too.

## What the page refuses

- **No billing permission.** You see "You need the billing permission" in place of the list.
- **The invoices could not be read.** The page says "We could not load the invoices", gives the reason and a reference to quote to support. It is never drawn as an empty list. When the billing service cannot be reached, the reason ends with "Try again in a minute; nothing was changed."
- **Load more failed.** A message appears and the invoices already read stay.
